What a business cover sheet should get right

  • Both companies, not just both people — a fax that lands on a shared machine needs to be routable by whoever picks it up.
  • A subject line that means something to the recipient: "Invoice 2087, net 30" beats "Documents".
  • A callback phone number. If half the pages arrive, the recipient needs to reach you without faxing back.
  • Page count including the cover, so a missing page is noticed the same day rather than a week later.
  • A confidentiality notice, which most legal, financial and HR departments expect on anything commercial.

Wording that sounds professional without padding

Keep the message under three lines. A cover sheet is not a letter — it says what is enclosed and what you want to happen next.

  • "Signed lease enclosed, 6 pages. Please confirm receipt by phone."
  • "Invoice 2087 attached for the March delivery. Payment terms net 30."
  • "Completed W-9 as requested on 3 March. Call with any questions."
  • "Corrected purchase order — this replaces the version sent yesterday."

Plain and legible: a clear heading, both parties with company names and fax numbers, date, page count including the cover, a short subject line, and a confidentiality notice. No colour, no heavy graphics — fax machines print black and white at low resolution.

Should I put my company logo on it?

You can, if it is black and white and simple. Gradients, photographs and fine detail turn into noise once transmitted, which looks worse than no logo at all.

Is a confidentiality notice legally binding?

It does not create an obligation on its own, but it is standard practice and evidence that you took reasonable care. Many legal and financial firms require it on every outgoing fax.

Do I need a cover sheet for every business fax?

For anything going to a shared machine, yes. For a direct fax to a known individual who is expecting the pages, a cover sheet is courteous but not essential.
