Opening and editing the template

  1. Press Download Word (.docx) below. Your browser saves fax-cover-sheet.docx.
  2. Open it in Word. It is a normal .docx document — no compatibility or file-format warning.
  3. For Google Docs, upload the file to Google Drive, right-click it and choose Open with → Google Docs.
  4. Edit the labels, add your logo, and save it as your standard cover sheet.

Word's own built-in fax templates live under File → New → search "fax". They are heavier on decoration, which fax machines reproduce poorly; this template is deliberately plain.

Turning it into a company template

  • Fill in your own name, company, fax and phone here before downloading — the recipient side stays empty for each new fax.
  • In Word, use File → Save as Template so it appears under Personal templates.
  • If you add a logo, keep it black and white and place it top-right; colour and gradients turn to noise at fax resolution.
  • Leave the confidentiality notice at the bottom if your organisation requires one on outgoing faxes.

Sending the Word file as a fax

Fax services convert documents to images before transmitting, and conversion is where Word layouts drift — a font your machine has but the server does not can push the page count from one to two. Export to PDF first (File → Save As → PDF) and send that. If you would rather not bother, download the PDF version from this page instead and skip the round trip.

Does Microsoft Word have a fax cover sheet template?

Yes — File → New, then search for "fax". Those templates are designed for print rather than for fax transmission, so they often use grey panels and light fonts that reproduce badly. This template avoids both.

What file format is the download?

A standard .docx document — the format Word has used since 2007. Word, Google Docs, LibreOffice and Pages all open it directly, and you can export it to PDF from any of them.

Can I use the template in Google Docs?

Yes. Upload the .docx to Google Drive and open it with Google Docs; the table layout, labels and notice all carry over.

Should I fax the Word file or convert it to PDF first?

Convert to PDF. Fax services rasterise whatever you send, and a PDF removes any risk of fonts or margins shifting during that conversion.
