When a blank sheet is the right choice

  • A shared fax machine in an office, where whoever sends the fax fills in the sheet by hand.
  • A reception desk that keeps a small stack of cover sheets next to the machine.
  • Faxing from a place with a machine but no computer — a clinic back office, a print shop, a library.
  • Handwritten notes you would rather not retype, such as a short instruction to the recipient.

Printing a stack

  1. Leave "Blank version" ticked below.
  2. Press Print and set copies to however many you want on the pile — 20 is a sensible desk stack.
  3. Use US Letter, portrait, single-sided, and turn off browser headers and footers.
  4. Or download the blank PDF once and print it again whenever the stack runs out.

For a half-filled sheet — your own name, company and fax number printed, the recipient side left empty — untick "Blank version" first, fill in the From column only, and download that. Blank version clears every field, including yours.

Filling it in by hand so it survives the fax

  • Use a black ballpoint or fineliner. Blue ink and pencil fade badly at fax resolution.
  • Print letters rather than joining them, especially in the fax number.
  • Keep writing inside the ruled line — machines sometimes clip the top and bottom few millimetres.
  • Write the page count including the cover sheet, so the recipient can check nothing dropped.

Frequently asked questions

What is a blank fax cover sheet?

A cover sheet template with the labels printed and the values left empty, so the sender writes them in by hand before feeding the page into a fax machine.

Can I download the blank sheet as a PDF?

Yes. With "Blank version" ticked, press Download PDF and you get the empty ruled form. The Word download works the same way if you want to edit the labels.

How many lines does the message area have?

Nine ruled lines with the default confidentiality notice, and more if you switch the notice off — the blank sheet fills whatever space is left on the page, and the preview shows the exact count.

Can I use it for a personal fax rather than a business one?

Yes. Leave the company fields empty; the sheet prints those lines blank and still shows your name, number and page count.
